MEETING MINUTES
Board of Directors Meeting
Monday, April 19, 2005

    Called to order 7:03

    1. Financial Report

    Don gave an overview of the financial report.
    Stu explained the water pump repairs and the need for a new Roof on the pump station using funds from the reserves.
    Pest control and mulch applied.
    Budget wise we are in good shape.
    We spent $4000 on the colored newsletter.
    We are fully staffed.
    March had 3 pay periods. It averages about $20,000 a month.
    Moved and seconded to accept the report.

    2. Stu's Report

    Lack of rain has caused more watering.
    The two new guys are doing a good job.
    Storm clean up about finished.
    Last stump ground out today, there is some re-sodding to happen soon.
    A couple of thousand dollars left to conclude the damage.
    $23,400 allocated so far for storm clean up.
    Actual Cost is 13,000 to date.

    3. Sunset parcel update

    Irrigation-
    The concept is a good one, but the details are not complete enough.
    They are going to do the berm and tap into our system.
    The original plan does not give us gallons per minute per zones or what equipment will be used. A new plan was received today and we hope that it will provide the necessary details.
    They are requesting irrigation approval. This will be reclaimed water.

    4. Kylemont Pond

    Nothing's been done. Issue is that the brush needs to be cleared back from the pond.Discussions started in Aug of '04. In Sept there was an on site visit with Kylemont's president. Lots of communication with Kylemont. The brush is preventing access to the pond. The President is saying that it will be done by the end of the month. President of Kylemont is invited to come to a maintenance meeting. Her accusations are that no other HOA has their plans approved.

    5. Quail Lake

    Medium and Two Sides landscaping plan

    4 Benches and stepping stones are requested to be put in the medium. Benches in the medium could present some safety issues. Some plants were not drought tolerant or freeze resistant and have a good chance of failing. The plants that they are proposing need to meet the "Florida Fancy" requirement.
    The Benches would not be recommended in a medium. Stu is available to discuss their landscaping plan, if they would like.

    6. Lake Front Exit

    Cars with Trailers have a hard time getting out of the park. They have to exit over the grass or over the curb.
    Suggestion is to fill in the grassy area that they drive on with gravel right before the exit so that damage is limited.

    7. LMA Website

    Do we want your email address listed?
    Board members will have their email addresses posted.

    Tim Bryce is paid $300 to manage and add anything that is needed. Two people have volunteered to help with the website. Perhaps a direct link from the LMA website to the individual HOA websites?
    The Board discussed if the minutes should be posted to the website. It was decided that we will post the minutes, after they are approved at the following Board meeting.

    7. East Lake Fire Dept.-

    The East Lake Fire Dept. has request to use the Lake Front Park for their annual picnic. The event is sometime in June. The Board approved the request, and instructed Melrose Management to collect a $300 deposit.

    8. Questions

    Diane from Robinwood
    Noticed the roping off at the preserve to prevent cars from parking on the grass.
    We did get our beautification award for $8000.

    Dennis from the Preserve
    Thanked Stu for getting the sod installed next to their property.

    Question? A question was raised about the $4000 for the newsletter?
    It was explained that it was a colored newsletter/budget recap that was sent to the more than 1800 homeowners in Lansbrook.

    Yellow Rope on Lake Front drive was installed to keep the parents of school bus riders from driving/parking on the sod. It was to protect the new sod.

    Review of the financial records.
    A question was asked about whether an audit of the financials had been conducted. It was noted that the CPA's are doing it as we speak. The cost is $750.00 and includes the filing of the corporate tax returns.
